1 - Definitions

In this Privacy Policy: 

"Frontliner" means the individuals designated to provide assistance at the forefront during times of national crisis or emergencies (e.g. pandemic, fire, flood, etc.), as shall be specifically determined by Frontliners Australia from time to time, who have registered as with us as Frontliners.

"Frontliners Australia", "we", "us" or "our" means Frontliners Australia Pty Ltd (ACN 640 058 420).

"Frontliner Kits" means individual products or vouchers delivered to a Frontliner (either digitally or physically) and/or bulk goods delivered to particular locations or institutions, as available from time to time.

"Personal Information" means information or an opinion (whether true or not) about an identified individual or an individual who is reasonably identifiable, whether that information or opinion is recorded in material form or not.

"Sensitive Information" means Personal Information that includes information about your racial or ethnic origin, political opinions, sexual preference or practices, criminal record or health.

"Website" means the Frontliners Australia website located at www.frontliners.com.au.

"You" means any person accessing this Privacy Policy or who supplies information to Frontliners Australia in accordance with this Privacy Policy from time to time.

2 - Introduction

Frontliners Australia respects your privacy and is committed to protecting your Personal Information against misuse and unsolicited marketing communications in accordance with the Australian Privacy Principles and the Privacy Act 1988 (Cth).

By providing your Personal Information to Frontliners Australia, or accessing the Website for any purpose, you confirm that you agree to the terms of this Privacy Policy. If you do not agree to the terms of this Privacy Policy, in whole or part, you must immediately cease use of the Website and any other services or information provided by Frontliners Australia.

The Website, its content and the services provided by Frontliners Australia are not intended for, or directed to, individuals located or residing in the European Union. By providing your Personal Information to Frontliners Australia, or accessing the Website for any purpose, you confirm that you are located in Australia.

3 - Collection and use of Personal Information

The Personal Information collected by Frontliners Australia is the Personal Information necessary to fulfil our functions or activities as required. The type of Personal Information collected and the way in which we collect and use your Personal Information will depend on the nature of your relationship with us. 

Where Personal Information is collected from: 

      • Frontliners, supporters and volunteers, the information will be used to provide such persons with information about Frontliners Australia, its developments and activities, service updates and any upcoming events; 

      • the general public through the Website or any other means of contact with Frontlines Australia, the information will be used to respond to any  enquires or feedback received; 

      • registered Frontliners, the information will be used to provide Frontliners with the support services, products and/or benefits, as available from time to time, direct marketing communications and details of any services, offers, coupons or other non-cash assistance, as available from time to time;

      • organisations and institutions responsible for coordinating and managing Frontliners, the information will be used to contact such persons about facilitating the distribution of Frontliner Kits to Frontliners and the provision of any support services to Frontliners, as available from time to time;

      • members of the community who have subscribed to our online newsletter, the information would be used to provide those subscribers with our latest newsletter on a regular basis, direct marketing communications and details of any upcoming events and fundraising activities; 

      • potential volunteers, the information will be used to consider the  engagement of a potential volunteer for current opportunities and any future opportunities which may arise from time to time, and to contact potential volunteers about those opportunities;

      • potential partners or sponsor, the information will be used to consider potential partnership and sponsorship opportunities;

      • supporters making donations, the information will be used to process any payments made to Frontliners Australia, provide donors with an acknowledgement of their payment and to manage our accounting or taxation obligations; and

      • Website users, the information will be used to monitor the online traffic and use of the Website and to improve the user's experience while using the Website.

The types of Personal Information we collect may include:

      • your name, contact details, (including, without limitation, email address and telephone number);

      • the state in which your are located;

      • details of your occupation, profession or job title (including, without limitation, the details of the institution where you are employed);

      • transaction details/history (e.g. records of your previous communications and interactions with us) and details of your preferences relating to transactions, products and/or support services on our Website; 

      • details about your browser, network and device, web pages you visited prior to coming to this website and your IP address; and 

      • details of a payment mechanism (e.g. credit card details) if you are making a donation. 

You may wish to remain anonymous in your dealings with us.  Frontliners Australia notes that if you wish to remain anonymous, or do not wish to provide Personal Information, it may be difficult for us to respond to your enquiries or provide you with assistance, information, products, support services or benefits.

4 - Disclosure of Personal Information 

Frontliners Australia will not disclose any Personal Information to any other organisations (outside our group companies) unless such disclosure is:

      • for the direct purpose of  carrying out our primary functions and activities;

      • required for fraud prevention and detection; 

      • to comply with any applicable laws; or

      • otherwise in accordance with this Privacy Policy

We will never sell or disclose your Personal Information to anyone else for their marketing purposes without your express consent.

We may pass your Personal Information on to our agents and subcontractors for the purpose of carrying out our primary functions and activities. For example, we may use third parties to deliver products, support services or benefits to you or send your Personal Information to a credit card provider to process a payment received as a donation.

Frontliners Australia reserves the right to disclose Personal Information, in a manner permitted by law, in order to:

      • comply with any applicable laws or valid legal process or procedure; or

      • respond to any government enquiries (including, but not limited to enquiries from a legal, governmental or quasi- governmental or local authority agency enquiries).

5 - YOUR USE OF INFORMATION

To the extent that you receive any Personal Information or Sensitive Information from Frontliners Australia or any of its representatives, employees or volunteers (whether such disclosure is accidental or otherwise) you acknowledge and agree:

      • that if you have reason to believe that disclosure was accidental, you will to immediately notify us of that disclosure 

      • that such Personal Information or Sensitive Information is strictly confidential and must be held by you on that basis and not disclosed to any third party; and

      • to treat that Personal Information or Sensitive Information in the same manner as we are required to treat that information in accordance with this Policy (as if you were Frontliners Australia).

At our request, you will immediately return or destroy all such information received by you.

6 - Collection of Sensitive Information

Frontliners Australia will not ordinarily request or collect Sensitive Information about you unless it is necessary to do so in order to complete our primary purpose and you have expressly consented to its collection. 

In the event that we collect your Sensitive Information, we will not use or disclose your Sensitive Information other than as permitted by law or with your express consent. 

7 - Storage and Security of Personal Information 

Frontliners Australia stores Personal Information electronically in Australia. The Personal Information which we hold will be held within our systems in accordance with our internal security policy and the applicable law. 

Personal information stored electronically may be held on behalf of Frontliners Australia by a third party data storage service provider. Some Personal Information may be transacted outside of Australia through our third party data storage service provider. It is foreseeable that our third party data storage service provider may transfer Personal Information stored on its servers across its global network, if one of its data centres should fail, or owing to some irregular circumstance.

8 - Retention and destruction of personal information

In the event that any Personal Information or Sensitive Information, in our possession is: 

      • no longer required for any reason connected or related to the purpose that it was originally collected for; or

      • the retention of such information is no longer required by us for any compliance, regulatory or other legal purpose,

we will take all reasonable steps to ensure that your Personal Information or Sensitive Information is either destroyed or anonymised.

9 - Cookies and Tracking

When using the Website, we may collect Personal Information from you using 'cookies', to monitor the use of and traffic received to the Website and improves your experience while using the Website. We share this information with Squarespace, our website analytics provider, to learn about site traffic and activity. A cookie is a small file which is placed on your device which allows us to recognise you when you visit the Website. 

Information about viewing the cookies dropped on your device can be found here. These functional and required cookies are always used and allow us and Squarespace, our hosting platform, to securely serve this website to you.

You can generally modify the settings of your web browser to prevent the use of any cookies on your device, however by doing so, you may be unable to access or use all or part of the Website to its full functionality.

The Website may contain links to other websites owned and operated by third parties. Frontliners Australia is not responsible for the privacy practices of such third parties and it is your responsibility to inform yourself of any third party privacy policies. 

11 - How to access or correct your Personal Information

You may wish to access, correct, update or erase some or all of your Personal Information or Sensitive Information held by Frontliners Australia from time to time. In some cases, we may not be able to provide you with access to your Personal Information or Sensitive Information, including, but not limited to, where such access, if granted, would interfere with the privacy of others or result in a breach of confidentiality. If we refuse to provide you with access to your Personal Information or Sensitive Information, we will provide you with a written explanation for refusing such access.

Where you have requested us to erase all of your Personal Information, we will no longer collect or use your Personal Information, except to the extent that such information is retained for compliance, regulatory or legal purposes.

To ensure that only your information is accessible, Frontliners Australia may require you to provide Personal Information to allow us to confirm your identity.

Frontliners Australia aims to meet the highest standards to protect your privacy and Personal Information and/or Sensitive Information. 13 - Changes to this PRIVACY policy

Frontliners Australia may amend this Privacy Policy (in whole or in part) from time to time at its sole discretion. Any changes to this Privacy Policy will be effective immediately upon posting the revised policy on the Website. 

Each time you access the Website or obtain any services or goods provided by us, you acknowledge and agree to the most recent version of this Privacy Policy.
